Privacy policy
How Elements Acupuncture collects, uses and protects your personal and health information.
Last updated 2026. Elements Acupuncture is a sole practice run by Annie Astbury, and is the data controller for the information described below.
Who we are
Elements Acupuncture, Annie Astbury, traditional acupuncturist, operating from clinics at Wymondham Chiropractic & Acupuncture Clinic, 56 Norwich Rd, Wymondham, NR18 0NT and Treat-Norwich, 2–4 Lawson Rd, Norwich, NR3 4LF. What we collect
- Enquiry details — your name, email address, telephone number and whatever you choose to tell us when you get in touch.
- Clinical records — the medical history, symptoms, diagnosis and treatment notes recorded during your consultations and sessions. This is health data, which UK GDPR treats as a special category requiring extra protection.
- Website usage — this site does not use advertising or analytics cookies and does not track you across other websites.
Why we hold it
Enquiry details are used to reply to you and arrange appointments. Clinical records are kept so that treatment is safe, consistent and appropriate over time. The lawful bases are your consent and our legitimate interest in responding to your enquiry, and — for health data — Article 9(2)(h) UK GDPR, the provision of health treatment by a professional bound by a duty of confidentiality.
The website assistant
The question box on this site answers from a fixed set of facts published on these pages. Your question is sent to our server to generate an answer and may be passed to an AI provider (Anthropic) purely to phrase that answer. Questions are not stored against your name, are not used for marketing, and are not used to train any model. Please do not enter personal health details into it — email Annie instead.
Who we share it with
Your records are not sold, and are not shared for marketing. They may be shared only where you ask us to (for example with your GP), where a clinic we work within needs booking details to manage the appointment, or where the law requires disclosure. The clinics we work from — Wymondham Chiropractic & Acupuncture Clinic and Treat-Norwich — operate their own booking systems and privacy policies for appointments made through their reception.
How long we keep it
Clinical records are retained for as long as professional guidance and insurance requirements state, normally at least eight years after your last appointment. Email enquiries that do not lead to treatment are deleted once they are no longer needed.
How it is protected
Records are stored securely and are accessible only to Annie. Paper notes are kept locked; digital information is held on password-protected, encrypted devices and accounts.
Your rights
You may ask for a copy of the information held about you, ask for inaccurate information to be corrected, ask for information to be erased where there is no ongoing clinical or legal reason to keep it, object to processing, or withdraw consent at any time. Email annie@elements-acupuncture.co.uk and Annie will respond within one month.
If you are unhappy with how your information has been handled you can complain to the Information Commissioner's Office at ico.org.uk.
Children
Where a patient is under 16, information is collected and treatment consented to with a parent or guardian present.
Changes
If this policy changes, the updated version will be published on this page.
